  • Only you can decide what you need for your practice to grow and thrive. However, I will ask you this… if you were able to offload the work of billing clients and calling insurance companies and figuring out denials, would you be able to add one, maybe two, clients per week?

    If the answer is yes, then adding a biller will easily pay for itself. Not only will the fee collected from the one additional client per week cover the majority of the cost, but the right biller can maximize your revenue by ensuring claims are filed AND paid correctly by the insurance company, promptly follow up on and resubmit denied claims, and work collaboratively with your clients on collecting their portion of the fees.

    So do you NEED a biller manager? I don’t know… do you want to add one or two clients? Do you want to focus on clients during sessions and not their finances or insurance coverage? Do you want your books to be solid when tax time rolls around? Do you want to avoid clawbacks due to improperly filed claims?

    If so, then I would say yes.

  • I am highly experienced with SimplePractice, TherapyNotes, Kareoe/Tebra, and TheraNest. That being said, contact me with the platform you use and I will let you know if it’s something I can support. If it is a platform I have not used before, it may take me a few days to investigate if it’s something I’d like to add to my wheelhouse. I am always interested in learning new technologies so I can better support my clients.

  • Yes. I am happy to work with group practices of any size. For groups with average monthly earnings less than $100,00 the fee is 7%. For groups with an average monthly income over $100,000 the percentage fee usually decreases but is ultimately dependent upon the size, composition, and complexity of your practice.

  • I do not process paper claims or claims via fax. I don’t even own a printer let alone the color printer and thousands of ink cartridges needed to submit claim forms in the requisite red ink format. If you’d like to transition to a paperless practice, I am happy to help you get there with my Simply Starting package 😬.

  • Some billers have their own clearinghouse and billing platform where they import your calendar information and send it out from there. We are not that kind of biller :-/ In order for us to work together, you must have your practice set up (or working towards being set up) on some sort of EHR platform that we can access.

  • In short, however often we need to get the job done without cutting into your time in front of clients. In the beginning, I usually meet over Zoom on a regular weekly basis and communicate via email and/or text often. Once we hit our stride (a month or two), we would cut that cadence back to bi-weekly or monthly. You have the option to meet on a weekly basis for an additional fee however I would not recommend meeting more than once a week to save you both time and money.

  • I am a Certified Professional Biller (CPB) through the AAPC.

    I also hold a Master’s degree in Arts Administration and a Graduate Certificate in Fundraising Management, both from Boston University. They don’t really have anything to do with this but I paid a lot of money for them so I’d like to trot them out here while I’m at it.

  • In a word, yes. All electronic transactions comply with HIPAA security and privacy rules through encrypted SSL connections, utilizing high-quality firewalls to ensure the protection of data. All clients sign a Business Associate Agreement prior to working with me. Any sensitive information regarding your practice is stored using LastPass, a cloud-based vault that uses endpoint and 256-bit AES encryption to safeguard data. As an added protection, I will utilize my own logins for your EHR and maintain my own billing agency profiles with providers.

    The privacy of you and your clients is of the utmost importance to me and I go to great lengths to safeguard this information.

  • I kind of fell into it by accident and enjoy the work. I strongly believe in the necessity and value of mental health care and am happy that my freakishly strong executive functioning skills can be put to good use in support of this field. I love it when my clients tell me that they were able to take on more clients and help more people because of the work I do for them.

    In the future I may expand to other areas but for now, I keep it to what I enjoy.

  • Man… I’ll be honest. I spent a long time, probably way too long, on deciding my fee structure. I sent out a market research survey to see what people had/wanted, stalked a whole bunch of small-time billers’ websites, lurked on reddit and assorted other online community boards, talked to my own personal therapist about it way too much, and obnoxiously spammed my therapist friends with draft pages late at night.

    Ultimately, I needed to find something that was (1) easy for one person to manage and invoice, (2) fair to me and my time, (3) reasonable without unfairly undercutting my billing peers, and (4) represented the value I bring to my clients’ practice.

    I originally started out charging hourly but I am thorough which means I spend the time to make sure things are right the first time and heavily investigate any problems to try and ensure they don’t happen again. That kind of approach gets expensive on an hourly basis but I’m not willing to sacrifice quality anymore. I spent a lot of time stressing about how many hours I was charging and tracking it all and ensuring it was enough but not too much and sometimes having to cut corners to save time and on and on… it was exhausting. Since switching to a percentage fee, I feel free to spend as much time as I want on my clients…guilt free! It’s great and while I know it’s not for everybody and you can maybe find an hourly person someplace else and save a few bucks, I am confident in the work I do and know I’m worth the money.

    At the end of the day, I don’t get paid unless you get paid. And trust me when I say that I will get you paid.
